Administrative Manager

 

Departments:                     Admin, Engineering and Landscape Architecture

Reports To:                         Director of Administration

Reviewed By:                     Director of Administration

Supervises:                        Assists with the supervision of the Administrative Staff

Primary Function:             Provide administrative assistance and support to the Director of Administration, CEO, Engineering, Landscape Architecture and Planning Departments Directors, Managers and Staff.  

Primary duties include but are not limited to (daily/weekly):

  • Manage the day-to-day operations of the administrative staff
  • Run the Daily Huddle & Proposal Huddle meetings
  • Training of all current and new staff
  • Fee Proposals
  • Additional Work Authorizations
  • Transmittals
  • Comment Response Letters (including Bluebeam)
  • PTO Requests
  • County Submissions – prep packages
  • Schedule and plan meetings
  • Project Research
  • Prepare memos, letters, etc. for CEO
  • Other duties as assigned
  • Must be physically capable of handling miscellaneous office needs which can include lite lifting (10lbs +/-)

 Monthly duties include but are not limited to:

  • Board Agenda and Minutes (at a later date)

As need duties but not limited to (these duties are performed as needed)

  • Site Notices
  • Deed Research
  • Set up workspaces (new employees) & take down (exiting employees)
  • Travel Arrangements
  • Specification Reports

 Cross-trained duties include:

  • Fed Ex /Courier
  • Utility Notices
  • Proof Proposals

 Qualifications:

  • Minimum of 8-10+ years working in the administrative field (civil engineering is a plus)
  • Detail oriented with excellent communication skills both in writing and verbal
  • Experienced trainer, motivator with strong leadership skills
